Private Event Policy Terms and Conditions

HaloHeat Saunas offer relaxing environments for private events

1. Deposit Requirement:

  • A non-refundable deposit of 50% of the total event cost is required at the time of booking to secure the reservation.

2. Cancellation Policy:

  • Cancellations must be made no later than one week (7 days) prior to the scheduled event date to receive a partial refund of the deposit.
  • Cancellations made less than one week (7 days) before the event will result in forfeiture of full deposit.
  • Any deposits paid for add-ons and additional coordination items such as gift bags, refreshments, etc., will follow the cancellation and refund policies of the respective vendors used. 

3. Final Payment:

  • The remaining balance of the event cost must be paid in full no later than seven days before the event date.
  • Failure to make the final payment on time may result in cancellation of the event and forfeiture of the deposit. 

4. Payment Method:

  •  Payment must be made using a credit card. This is the only accepted form of payment.
  • The credit card used for the deposit will be kept on file and charged for the remaining balance seven days before the event date, as well as for any additional charges incurred during the event.

5. Event Confirmation:

  • Your event date and time will only be confirmed once the deposit is received.
  • Full payment must be completed to finalize all event arrangements.

6. Add-Ons and Additional Coordination:

  • If additional coordination items such as gift bags, refreshments, etc., are requested, the deposits for these items will be subject to the cancellation and refund policies of the vendors used to support these requests.
  • It is the client’s responsibility to understand and agree to the vendors’ terms before confirming any add-ons. 

7. Rescheduling:

  • Rescheduling requests made at least one week (7 days) prior to the event date will be accommodated based on availability.
  • Rescheduling less than one week (7 days) before the event will be treated as a cancellation. 

8. Liability and Damages:

  • The client is responsible for any damages to the studio facilities or equipment during the event.
  • HaloHeat Sauna Studios is not liable for any personal injury or loss of property during the event. 

9. Compliance:

  • All guests must adhere to HaloHeat Sauna Studios’ policies and guidelines during the event.
  • Failure to comply with studio policies may result in immediate termination of the event without refund.
